Creating a wedding guest list is about much more than adding a list of names to an Excel spreadsheet.
Your guest list is the starting point for managing everyone invited to the wedding or event. It supports the delivery of save the dates and invitations, the collection of RSVPs, pre-event communications and the final guest numbers shared with the caterer, venue and other suppliers.
Building the wedding guest list correctly from the beginning gives the wedding planner clear, organised information, reduces missing details and provides a reliable structure to use throughout the planning process.
We have therefore created a template to help wedding planners and couples collect all the necessary information in the correct format.

The best time to set up the guest list correctly is at the beginning of the planning process, when the couple starts deciding who they would like to invite.
A wedding planner will usually find herself in one of the two below situations.
The most organised approach is to send the couple the template straight away and ask them to complete it.
This allows them to collect the information directly in the format that will later be used to manage RSVPs and communications. First names, surnames, family groups, potential plus-ones and guest categories will already be arranged correctly.
It also avoids having to transfer information from another spreadsheet or rebuild the connections between couples, families and individual guests at a later stage.
There is no need to ask the couple to start again. However, it is important to check that their spreadsheet can be easily adapted to the template and includes all the necessary columns.

The aim is to have a complete, organised guest list that is ready to use before importing it.
It depends on how the save the date and invitation will be sent.
When the wedding planner is sending these communications by email or WhatsApp, the guests’ contact details need to be collected before anything is sent. However, when the save the date and invitation will be delivered by post, by hand or directly by the couple, email addresses and WhatsApp numbers can be requested later through the RSVP form.
The RSVP form can therefore include a question asking guests to provide their email address and/or WhatsApp number. When they submit their RSVP, these details are collected and saved automatically by Invytly. If you later need to send communications directly from the platform, the contact details for all guests will already be available.
Every column in the template has a specific purpose. Keeping the information separate makes the guest list easier to review, sort, filter and import.
The First name column should contain only the guest’s first name.
Do not add their surname, their partner’s name or general descriptions such as “The Rossi Family”. Every person should be listed individually on their own row.
Keeping the first name separate from the surname also allows the wedding planner to sort the full guest list alphabetically by first name with a single click.
This is useful when searching for a particular guest quickly or comparing the guest list with another document.
The guest’s surname should be entered in a separate column from their first name.
This allows the wedding planner to sort the wedding guest list alphabetically by either first name or surname with a single click.
This distinction is particularly useful when several guests have the same first name, when checking for duplicates or when preparing an alphabetical list to share with other suppliers.

Giulia and Andrea are two separate guests, so they should be entered on two separate rows.
The Group field connects people who belong to the same invitation group.
This could include:
Every guest should still have their own row, but everyone belonging to the same group should be assigned the same number.
For example, when John and Mary Smith have been invited together, they could both be assigned Group 12.
The number itself does not have a specific meaning. It simply connects the guests to one another.
Using a number makes the spreadsheet quicker to complete and reduces the risk of entering the same group name in slightly different ways.
The Group field should not be used for broad categories such as “friends”, “colleagues” or “bride’s family”. It identifies the people who have been invited together and should be connected within the RSVP.
When one person in the group completes the RSVP, they can also respond on behalf of the other people in their group.
For example, one parent can confirm attendance for the whole family and provide the required information for each family member.
This speeds up the collection of RSVPs, makes the experience easier for guests and allows the wedding planner to receive one group response while still keeping the information for each individual guest separate.
The +1 field shows the number of additional guests that a named guest is allowed to bring.
In most cases, the number entered will be 1, although it can be higher when the invitation allows the guest to bring more than one additional person.
This field should only be used when the identity of the additional guest is not yet known.
When the partner’s or companion’s name is already known, that person should be added directly to the wedding guest list on a separate row and linked to the main guest through the Group field.
When the named guest completes the RSVP, they can add their +1 by entering the additional guest’s first name and surname.
They can then complete the RSVP questions for that person as well.
All the information is saved automatically by Invytly. The organiser receives a notification and can see:
The main guest and their +1 are then grouped together within the platform.
Tags are optional and can be used to categorise guests according to information that is useful when organising the event.
Unlike the Group field, a Tag does not indicate that several people were invited together. Tags create broader categories that make it easier to filter the wedding guest list and quickly find specific guests.
Examples could include:
The same guest can have more than one Tag.
For example, a guest could belong to Group 12 and have both the “Welcome dinner” and “Hotel A” Tags.
When no specific categories are needed, the Tags column can be left blank.
The Group field identifies people who belong to the same invitation group and can respond to the RSVP together. If a guest is assigned more than one Tag, separate them with a comma followed by a space: Welcome dinner, Hotel A
Tags describe categories, characteristics or parts of the event that apply to particular guests.
Setting up Groups and Tags correctly from the beginning gives the wedding planner a clear view of the list and avoids having to reorganise the information later.
The Email column should contain the address that will be used to contact the guest.
Whenever possible, it is best to enter a personal email address for each adult guest. When two people share the same email address, they should still be listed on separate rows and linked using the Group field.
The email address can be used to send the save the date, invitation, wedding website link, RSVP access or other event updates.
When no communications need to be sent before the RSVP, the email address can be requested directly through the RSVP form and saved automatically in the platform.
The guest’s WhatsApp number should be entered with the full international dialling code.
For example:
When entering the number in Excel, type an apostrophe before the + sign so that the international dialling code is kept correctly.

The apostrophe tells Excel to treat the cell content as text. Once the entry has been confirmed, the apostrophe will not appear as part of the number.
The international dialling code is especially important for a destination wedding, where guests may be travelling from different countries. A complete number allows the correct contact details to be matched to each guest and used for WhatsApp communications relating to the event.
When the number is not needed to send the save the date or invitation, it can be requested directly through the RSVP form and saved automatically in Invytly.
It is best to collect all the available information from the start.
A complete wedding guest list makes it easier to prepare:
Not every piece of information needs to be used immediately. However, having it available prevents the wedding planner from having to request the same details from the couple later.
Before the final import, Invytly performs one last check of the spreadsheet and highlights any issues or inconsistencies that need to be reviewed.
The wedding planner can correct the highlighted information and confirm the import once the guest list is ready.
Once the template has been completed, the guest list can be uploaded to Invytly.
During the import, the spreadsheet columns are matched to the corresponding fields in the platform.
Before the final confirmation, Invytly carries out one last check and flags any issues in the file, allowing the wedding planner to review and correct them.
Once imported, guests will already be organised according to the Groups, +1s and Tags set up in the spreadsheet.
